Community Management Services

We are a full service property management company. We pride ourselves on providing our residents unparalleled customer service and our goal is to allow our customers to enjoy the benefits of a real estate investment without having to spend the time, effort and sometimes the frustration of managing the property. Below is an example of our typical Level of Specifications for managing an association.

General Management

  • Coordinate and plan annual membership meeting
  • Prepare annual meeting package, agenda, and backup information
  • Record and type minutes of annual membership meeting
  • Maintain corporate minute book
  • Prepare Board of Directors meeting package, agenda, and backup information
  • Post meeting notices as required by Florida Statutes
  • Type minutes of Board of Directors meeting
  • Prepare and file State of Florida corporate annual report
  • Renewal of annual operating permits as required
  • Free notary service for all Association members
  • Prepare all Association mailings to members
  • Postage for all such mailings will be charged to the Association at cost
  • Maintain owner’s mailing roster of both permanent and seasonal addresses
  • Maintain roster of all renters and their lease expiration dates
  • Coordinate and process necessary forms for purchase/rental agreements and assure that the appropriate rule, by-laws and covenants are followed
  • Process amendments to declarations, by-laws, rules and regulations
  • Administer Architectural Review Committee procedures
  • Enforce all Association rules as directed by the Board

Administration Management

  • Sunrise Officer to attend annual member’s meeting
  • Property Manager to attend annual member’ meeting
  • Property Manager to attend all Board of Director’s meetings
  • Prepare specification and competitive bid packages for special projects and capital improvements
  • Review and summarize all competitive proposals for products and services required to manage the Association’s properties
  • Arrange association insurance coverage to limits set by Board, with competitive bids requested no less frequently than every three (3) years
  • Insure compliance with applicable Florida Statutes and Florida Administrative Code
  • Rules and covenants enforcement actions
  • Document compliance actions
  • Act as Registered Agent in the State of Florida for processing service of corporate reports

Accounting Management

  • Prepare and maintain Association monthly financial reports:
    – Cash Receipts Journal
    – Cash Disbursements Journal
    – Accounts Receivable Ledger
    – Accounts Payable Ledger
    – General Journal (non-cash transactions)
    – Trial Balance
    – General Ledger
    – Balance Sheet
    – Profit/Loss Statement
    – Comparison Report – current month and year-to-date
    – Aged Receivables Report
  • Distribute monthly Profit/Loss Statement, Balance Sheet to Board of Directors
  • Distribute Aged Receivables Report to Board of Directors as necessary
  • Establish direct deposit of cash receipts into Association’s bank account
  • Prepare checks for signature by Board members
  • Prepare quarterly assessment invoices to members
  • Prepare follow-up invoices for accounts in arrears
  • Reconcile operating account checkbook monthly
  • Reconcile investment account(s) statements monthly
  • Store current year Association financial records
  • Prepare Statement of Account as requested by individual members
  • All accounting functions performed will be supervised by Financial Manager and be in accordance with Generally Accepted Accounting Practices

Physical Property Management

  • Supervision of Management Company personnel by Property Manager
  • Supervision of Management Company employed subcontractors by Property Manager
  • Supervision of all contractors, subcontractors or vendors engaged on behalf of the Association
  • Supervision of and coordination of on-site maintenance, general repairs and special projects by Property Manager
  • One time per week inspection of property by Property Manager to ensure quality of work and completion of maintenance specifications
  • Prepare and implement an annual maintenance schedule, detailing all work functions and the frequency of service by month
  • Maintain inventory of Association required operating supplies
  • Property Manager on-call 24 hours a day, 7 days a week for EMERGENCY SERVICE
